Providers who cover multiple clinics

Two ways to set up a provider who works at more than one clinic — adding clinic access vs. changing their primary clinic — and which one to pick.

Written by Valeed Malik

Some providers see patients at more than one of your clinics. SaRA supports this — but there are two very different ways to set it up, and picking the right one matters.

Give the provider access to another clinic (most common)

If a provider needs to cover a second clinic without moving their existing patients, add a clinic membership:

  1. Go to Manage > Team and open the provider.

  2. Under Clinic memberships, click Add clinic and choose the additional clinic.

  3. Leave their Primary clinic selection unchanged.

  4. Save.

The provider can now work with patients at both clinics. Nothing moves.

Change the provider's primary clinic (moves their patients)

A provider's primary clinic determines where their patient panel lives. Changing it moves all of their primary patients to the new clinic. Only change the primary clinic when the provider is genuinely relocating and their panel should move with them. SaRA will show you the number of patients affected and ask you to confirm before anything moves.

Why this matters for billing: a patient's clinic determines the billing location on their claims. Moving patients to the wrong clinic quietly changes where their RTM codes are billed from — so use the access option unless the provider has truly transferred.

Which one do I want?

  • "Dr. Smith is helping out at our north location on Fridays" → add clinic access. Primary clinic stays put.

  • "Dr. Smith transferred to the north location permanently" → change the primary clinic and confirm the patient move.

If you're not sure, add clinic access first — it's always safe, and you can change the primary clinic later.

Related: adding and removing team members covers clinic assignments when a person first joins, and moving a patient to a different provider covers reassigning individual patients.
