Bulk enrolling patients: what each message means and how to fix it

Every status a bulk-enroll row can show — Ready, patient type errors, provider errors, duplicates, and the unconfirmed connection-lost state — and exactly how to fix each one.

Written by Valeed Malik

Bulk enroll lets you add a whole list of patients at once. You paste rows from a spreadsheet (or upload a CSV file), review them, and enroll. You will find it on your Patients page, behind the Bulk enroll button.

This guide explains every message a row can show, and exactly how to fix it.

Good to know: a row that fails creates nothing. There is never anything to undo or clean up. Fix the row and run the same list again — patients that already exist are skipped automatically.

Step 1: Add your patients

Paste your rows straight from a spreadsheet, one patient per line. The guide under the paste box shows the column order and the exact values your clinic accepts.

Two tips that prevent most problems:

  • The Patient type and Primary Provider email columns can be left blank. You can pick them from a dropdown in the next step instead.

  • The Download template button gives you a file with the right columns already set up for your clinic.

Step 2: Review — what each message means

Before anything is enrolled, every row is checked. Each row gets a status on the right side of the grid. Here is a review with one of each:

"Patient type X is not set up for this provider. Use one of: ..."

A patient type is the care program a patient is enrolled into (for example a low back pain program). Every clinic has its own set, so a type that exists elsewhere may not exist for you. The message lists the types your clinic can use — pick one of those in the row's Patient type dropdown, or fix the value in your spreadsheet.

"Primary provider with this email was not found"

The email in the Primary Provider column must exactly match a provider who exists in SaRA. Check for typos, or pick the provider from the row's dropdown instead.

"Primary provider is not in a clinic you manage"

You can only enroll patients into clinics you administer. If a provider works at a clinic outside your access, ask the clinic's admin to run the enrollment, or contact support.

"Date of birth is required" / "Phone is required" / "Invalid phone number"

Every new patient needs a real date of birth (YYYY-MM-DD). Patients going into a texting-based program also need a mobile number that can receive texts — a landline will be rejected. Patients in PCM or CCM only (care programs without texting) may leave the phone blank.

"Already exists"

A patient with this phone number is already in SaRA. The row is skipped, not failed — nothing is created twice. This is what makes re-uploading the same list safe.

If the connection drops mid-enroll

If your internet connection drops while patients are enrolling, rows show an amber unconfirmed status: "Connection lost while enrolling. These patients may have been enrolled anyway." That means SaRA may have finished the work even though your browser lost touch with it. Check your patient list first — if the patients are there, you are done. If some are missing, run the list again: patients that made it in are skipped automatically.

Ready to enroll?

Once your rows show Ready, press Enroll. The list runs in small batches and gives you a receipt for every patient.
