How and when you pay SaRA: invoices and payment method

When SaRA invoices your clinic, where invoices live in the app, how to pay or change the card on file, and what happens once payers start reimbursing your RTM claims.

You'll get one invoice a month — here's how it works.

SaRA bills your clinic once a month. The invoice arrives by email, and you can see every invoice — and pay it — right inside SaRA. Bank transfer (ACH) and card both work.

When the invoice arrives

Your invoice is emailed to your clinic's billing contact each month. You don't need to set anything up to receive it.

Not seeing invoices? Message us in the in-app chat with the best billing email for your clinic and we'll make sure they're pointed at the right inbox.

Seeing your invoices in SaRA

The Invoices page in SaRA lists every invoice for your clinic — what's due, what's paid, and the history — and it's where you pay.

Understanding what you're being charged for

On the same page, the Billing Breakdown card shows the charges for the current billing period grouped by CPT code. For each code you'll see:

  • Units — how many of that code were earned in the period.

  • SaRA rate and your cost — what we charge per unit, and the resulting subtotal.

  • Insurance rate and revenue generated — the expected reimbursement for that code, so you can see the return alongside the cost.

That breakdown is what your invoice total is built from, so it's the fastest way to answer "why is this month's invoice what it is."

The breakdown summarizes by code rather than listing every individual patient or claim. If you need to reconcile an invoice down to the patient level, message us in the in-app chat and we'll pull that detail for you.

Setting up how you pay

  1. On the Invoices page, find Payment methods.

  2. Add a bank account (ACH) or a card. Bank transfer usually costs your clinic less: ACH fees are capped at $5 per payment, while card payments run 2.9% plus 30 cents — on a $1,000 invoice, that's $5 by bank versus $29.30 by card.

  3. Adding a bank account? If your bank isn't in the instant-connect list, choose Enter bank details manually. Our payment processor sends two small verification deposits to the account — they take 1 to 2 business days to appear. Confirm the amounts and you're set.

The small verification deposits are normal — they're how the bank account is confirmed as yours. Nothing is charged until an invoice is paid.

If your bank connection says "pending" or "didn't finish"

After you add a bank account, it can take a couple of days before it is ready to use. While that is happening, the bank shows up on your Payment methods list with a short status so you are never left guessing.

  • Pending verification — the two small deposits are on their way to your account, or we are waiting for you to confirm the amounts. This usually clears in 1 to 2 business days. Nothing is needed from us; you finish it from your bank statement.

  • Didn't finish — the attempt stopped before the account was connected. The most common reason is that the window was closed partway through, or the verification amounts did not match. Add the bank account again and it will replace the unfinished attempt.

Neither status charges you anything, and neither one blocks your invoice. If a card is already on file, invoices keep being paid by card until the bank account is ready.

Been sitting on "pending verification" for more than a few days? Message us in the in-app chat and we will look at it with you — occasionally a bank takes longer to post the deposits, and we can tell you which side it is waiting on.
