Billing RTM codes in WebPT (SOAP 1.0): step-by-step

How to enter RTM charges in WebPT (SOAP 1.0), including the visit-count adjustment and billing after discharge.

Written by Valeed Malik

Follow these steps to bill RTM codes in WebPT (SOAP 1.0).

  1. Select the patient and add a daily note. Open the patient profile and choose "Add Daily Note."

  2. Manually reduce the visit count by one. WebPT automatically increases the visit number every time a note is entered, and this RTM note should not count as a visit. Example: if WebPT shows 14 visits, change it to 13.

  3. Go to the Objectives tab. This is where the RTM-specific billing notes are entered.

  4. Scroll to the RTM codes and check the boxes for the codes SaRA has prompted you to bill this cycle.

  5. Copy and paste the billing justification from SaRA into the respective code areas. If WebPT asks for a timed code for "therapist minutes," enter 1.

  6. Delete all other billing codes from the note. Otherwise WebPT will ask you to complete information for codes that aren't relevant.

  7. Go to the Plan tab and select "Finalize Daily Note."

  8. Click OK on the confirmation. WebPT will note there's no scheduled visit for that day — select OK to continue.

Billing after the patient was discharged in WebPT

You can still bill RTM codes for a discharged patient: create the daily note as above and back-date it to a date before the discharge date.
