Enrolling a patient without billing them

How to mark a patient non-billable so SaRA keeps messaging and monitoring them without generating billing codes, at enrollment or later, and how to spot them on your list.

Written by Valeed Malik

Some patients should get SaRA's check-ins without ever creating a billing code

That might be a self-pay patient, a staff member or family member you enrolled, or a patient whose plan you have decided not to bill. Mark them non-billable. SaRA keeps messaging and monitoring them like any other patient, and it simply never prepares billing codes for them.

This is the supported way to keep a patient off your billing list for good. It also settles the case of a discharged patient who keeps showing up on the list again.

Marking a patient non-billable when you enroll them

In the Add Patient window, on the Patient Info step, tick Non-billable patient. The note under it reads: keep messaging and monitoring active without generating billing codes for this patient.

Finish enrollment as usual. The patient gets the same welcome text and the same check-ins as everyone else.

Marking a patient non-billable after enrollment

Open your Patients page and hover over the patient's row. In the actions that appear, choose Mark Non-Billable (the receipt icon).

A short confirmation explains what will happen. Click Mark Non-Billable to finish.

Marking a patient non-billable cancels any billing codes already pending for them. You will see a confirmation that the patient was marked non-billable and their pending billing codes were cancelled. Those codes do not come back if you mark the patient billable again later.

Changing your mind

Hover over the same row and choose Mark Billable. Billing picks up again from the patient's next cycle. It does not go back and recover the cycles they spent as non-billable.

Spotting non-billable patients on your list

A grey No-Bill badge sits next to the patient's name.

To see only these patients, open the filter icon next to the provider picker and tick Non-billable patients.

What does not change

  • The patient's texts and check-ins about their recovery keep going.

  • Their message cadence and message flow stay exactly as you set them.

  • Time tracking and the conversation view work normally.
