What SaRA asks of your team, by role

Every task your practice does with SaRA, grouped by who does it: one-time setup, front desk, providers, your champion, and billing.

Written by Paul Yerhot

Everything your practice does with SaRA, on one page.

Most of the monitoring runs on its own. This page is the honest list of what is yours: a one-time setup, then a few small habits for each role. Every line links to the guide that shows the clicks.

Weighing SaRA? Read this with the people who would do each part. Already live? Use it to check that every line has an owner.

One-time setup (the owner or an admin)

  • Sign the agreement. We send the link. At the same time you choose your billing path: SaRA bills for you, or you self-bill. The two paths are compared in Choosing your billing path.

  • Fill in the intake form. Company details, NPI and taxonomy, your clinic locations, and your main payers. Tax ID and clearinghouse details are only asked for when SaRA bills for you.

  • Finish setup on the Manage page. Complete the company profile, add your clinics, invite your team, add a payment method (bank transfer costs less than card), and enroll yourself as a test patient. The walkthrough is Setting up your practice in SaRA.

  • Update your EMR templates. Four documentation changes: the RTM codes on the evaluation template, an RTM goal, the medical necessity statement, and an RTM section on the daily note. Exact wording is in Setting up your EMR templates.

  • If SaRA bills for you, sign payer enrollments. Some payers need a one-time enrollment before they pay RTM claims. We prepare the form and post it under Manage > Documents. You print it, sign it by hand, and send it back. We file it and follow up. The full journey is in Payer enrollment for RTM claims.

  • Get your IT team ready for the browser extension. If IT manages your computers or network, send them Network and allowlist requirements before go-live, and tell us every email ending your staff sign in with.

Front desk (once per new evaluation)

Many practices have the front desk run enrollment and the provider introduce the program during the evaluation. Either split works. Pick one and keep it.

Providers

Once the clinic is set up, a provider's part is small. The short version is Your part in SaRA takes about three minutes a month.

  • Install the SaRA browser extension so SaRA opens next to the chart. One install, then one code sent to your email: The SaRA browser extension and the first sign in guide.

  • Introduce SaRA at the evaluation and justify RTM in the eval note. Wording is in Justify RTM in your evaluation.

  • Check the patient list most days and reply to responses that need you. Patients report on every part of their recovery, so a quiet patient or a pain jump stands out. The time you spend reviewing is tracked on its own. There is no timer to start. Columns are explained in Reading your patient list.

  • Log the conversation when you talk with the patient about what they have been reporting, at a visit or on a call. One click. Then check the "RTM data reviewed" box in the daily note. How that time turns into codes is in How SaRA tracks your RTM time.

  • Clear reviews when SaRA flags one, and sign off billing items each month, or hand sign-off to someone else in the practice. See What Needs Review means.

Your champion (the owner or a clinic director)

Every practice names one person who owns the program. It is usually the owner or a clinic director, and it is the role that decides whether SaRA becomes a habit.

  • Own the go-live checklist and watch that new evaluations are actually getting enrolled.

  • Make sure every clinician has the browser extension working before go-live. Anyone stuck at sign in can follow Signing in through the extension for the first time.

  • Work the Billing page once a month. Sign off items if SaRA bills for you, or hand the Ready to Bill list to your biller if you self-bill. The tabs are explained in The Billing page, explained.

  • Ask us for a call whenever you want one. Most practices go live using these guides, the in-app chat, and our short emails. If you'd rather talk something through at setup, go-live, or your first billing review, ask in the chat and we'll set up a short call.

  • Be our point of contact. Your team can always reach us through the in-app chat, and we bring anything account-wide to you.

Billing

What your billing person does depends on the path you chose.

If SaRA bills for you

  • Beyond the payer enrollment signatures above, nothing. We submit the claims, track them, and reconcile payments. The Submitted and Closed tabs on the Billing page show where every claim stands.

If you self-bill

  • Work the Ready to Bill tab. Enter the codes and the justification text into your EMR, then mark the item billed. We keep step-by-step guides for most PT EMRs in Billing RTM in my EMR.

What SaRA does without you

  • Sends the check-in texts and reads the replies.

  • Counts engagement days and works out which codes each cycle earned.

  • Tracks review time and prepares the justification text.

  • Flags what needs a person, and stays quiet when nothing does.

  • Prepares your monthly invoice and, when we bill for you, files and follows up on the claims.

Not sure who should own a line? Message us through the in-app chat and we will help you split it for your practice.
